A copy/scan/photo of the Hirers Identification (Drivers License or Passport) is required before bookings will be confirmed. Once you have received your invoice after booking, please reply to our email with your identification attached. Note: Identification will be deleted when the Security Bond is refunded.

A deposit of 50% of the total booking charge is payable at the time of booking and must be paid by credit/visa debit card to confirm the booking. The outstanding balance can be paid by bank transfer or credit/visa debit card.

Any balance owing is due 14 days after the date of the invoice unless agreed in writing.

A security bond is charged with all bookings to cover loss or damages incurred during the event. The security bond will be refunded once the hall has been checked for loss or damages, minus any additional charges.

You are responsible for cleaning and packing away any equipment used at the end of your event. All rubbish must be removed from the hall and park (rubbish bags are not supplied).

You are NOT responsible for cleaning floors, carpets, the kitchen, or toilets. A cleaning fee is included with your booking which pays for our cleaner to clean, disinfect, and sanitise all surfaces, floors, and toilets in the hall after your event. Please Note: If more time is needed due to the heavy soiling of the hall, additional charges will be added to your account, and an invoice issued or paid from your security bond.

Bookings may be cancelled at any time. The Association will refund the Hall Hire Price when a cancellation notice is received:

a. more than 30 days prior to the date of Event: Full refund less an administration fee of $15;

b. within 30 days prior to the Event: 50% of booking fee;

c. within 14 days prior to the Event: 25% of booking fee;

d. within 7 days prior to the Event: no refund.

In the event of cancellation due to a change of Covid Levels, a full refund will be provided to the Hirer or a change of event date upon agreement between both parties.

Security cameras are operating within Stillwater Hall. The footage is held securely off-site and will only be used in the following scenarios:

1. Random viewing during events to ensure the security of the Hall and that parties are under control.

2. In the case of damage, reviewed prior to charging the hirer for repairs. Footage may also be passed on to Debt Collection agencies if necessary.

3. In the case of vandalism, reviewed prior to charging the hirer for repairs. Footage may also be passed onto Debt Collection agencies if necessary and/or the Police.
